Adams & Martin Group has partnered with a boutique law firm seeking a detail-oriented and highly organized Billing Coordinator with advanced proficiency in the Clio legal practice management platform. The ideal candidate will play a key role in maintaining accurate timekeeping, generating client invoices, and supporting the overall billing workflow for the firm. This role requires excellent communication, strong technical skills, and the ability to manage billing for both individual clients and large corporate accounts-including those requiring submission through billing portals.
Key Responsibilities
Billing & Invoicing
- Enter attorney and staff billable time into Clio with precision and consistency.
- Generate draft bills for attorney review and prepare final monthly invoices for distribution.
- Submit invoices through various billing portals for large clients and, occasionally, insurance carriers.
- Monitor billing deadlines to ensure all invoices are sent out accurately and on schedule.
- Process revisions, adjustments, write-downs, and other billing edits as needed.
Client & Matter Setup
- Set up new clients, matters, billing arrangements, and rates within the Clio system.
- Maintain client information and ensure all billing data is complete and up to date.
Reporting & Data Management
- Create and manage standard and customized billing, timekeeping, and productivity reports using Clio.
- Track accounts receivable and assist with follow-up on outstanding invoices as requested.
Administrative & Cross-Functional Support
- Communicate with attorneys, paralegals, and clients regarding billing inquiries or discrepancies.
- Assist with the improvement of billing workflows and best practices within the firm.
- Provide general administrative support to the accounting or operations team as needed.
Qualifications
- Mastery-level experience with the Clio software platform is required.
- Prior legal billing or law firm administrative experience strongly preferred.
- Strong understanding of timekeeping processes and legal billing guidelines.
- Excellent attention to detail and accuracy with numbers and data entry.
- Ability to meet strict deadlines and manage multiple billing cycles concurrently.
- Strong communication skills and a professional, client-service mindset.
- Experience with billing portals (e.g., Legal Tracker, CounselLink, or similar) is a plus.
